TNT SECURITY INC: Security Provider for the USC

As of  last January, The University Students’ Council has changed the company that provides security for USC events. In an effort to improve the quality of service providers that we offer our students, the USC reviewed all of its ‘Preferred Vendors’ and made some significant changes.

The most instrumental change is the move to TNT Security Inc. This is a security company who strives to provide quality customer service and support to student events all over Southwestern Ontario. TNT Security has built a reputation for delivering reliable, accountable and results-driven security services to its client base spanning major commercial, public facilities and fellow university populations.

Their highly skilled team has the expertise and experience to provide unique and timely solutions that exceed their client’s needs and expectations. The USC has received numerous verbal and written testimonials of positive experiences with this company in our search for a new security provider.

When we met with TNT’s President and management, we were impressed with their enthusiasm and experience in working with student populations. We are happy with the services that they have offered to us thus far; as we maintain the interests of you, the student, as our number one priority.

Finance Procedures for Fundraisers

For all Clubs and Faculty Councils that hold fundraising events both on and off campus; please note that there are procedures added to the existing approval process of all fundraising events:

GENERAL PROCEDURES

    • All Student Organizations’ who execute fundraising and/or awareness events will be required to answer a series of questions regarding the expectations of their event prior to the actual execution date. These questions will be answered by the students via the online submission form provided to you by your Student life contact (Becky Ambrose; Student Organizations’ Administrator, or Lindsay Harris; Student Organizations’ Event Services Officer) http://www.usc.uwo.ca/forms/view.php?id=32
    • The submission of this fundraising information is a required step to obtain overall approval for your event
    • Upon execution of the event, your Student Organization will then be required to provide a mini report of the overall event (attendance, success, etc.) the link to this form (http://www.usc.uwo.ca/forms/view.php?id=33) will again be provided by your Student Life contact (either Becky Ambrose; Student Organizations’ Administrator, or Lindsay Harris; Student Organizations’ Event Services Officer) – the submission date of the report will be specified by your Student Life contact and is required by that date (the date will usually be the next Thursday following your event)

FINANCE PROCEDURES

  • When your student organization submits the pre-event fundraising form, there is a part of the form in which they are to declare who is responsible for collecting and depositing the money from the fundraiser, please note that this individual is responsible for all monies raised and is required to submit the money the FOLLOWING business day to their USC Account.
  • Once you have deposited the money into your USC account, you will be given a proof of deposit slip, which you are then required to bring to the Student Life Department (room 301, UCC) and give to your Student Life contact (either Becky Ambrose; Student Organizations’ Administrator, or Lindsay Harris; Student Organizations’ Event Services Officer) – a copy of your deposit slip will be kept in the event file.

EXISTING PROCEDURES

-All Student Organizations seeking to hold an event to raise charitable fund may be required to provide  a letter from the charity they have chosen to support indicating the following:

  • The registered charity number’
  • Confirmation of the charity’s support of the event/method of fundraising
  • Contact information for the charity 
  • Approval of the location and venue of the event

-Donation boxes/jars are not permitted on campus

-Raffles are not permitted (unless you have received written permission from the Lottery and Gaming Commission of Ontario)

-All charities must be Registered Canadian Charities

-All monies raised are to be deposited within 24 hours after the event has been executed

-USC corporate cheque will be forwarded to the charity for the full donation amount in the week following the event

Campus Perks & USC Clubs

Happy Tuesday Everyone!

We have had many questions about Campus Perks and whether or not Student Organizations can work with Campus Perks for Fundraising and Sponsorship opportunities for their clubs. We have been looking into and continue to look into this as we are uncertain as to whether or not certain policies (UWO Advertising and Commercial Activities Policy) and exclusivities (UCC/UWO) will be violated by engaging a relationship with Campus Perks.

Please note that we are looking for a way to move forward with this partnership as the USC supports our Student Organizations in their quest to obtain as many sponsorships as they can and be as involved in the community as you can be! We just have to make sure that we are doing it the right way as the University is private property and solicitation on campus violates many policies and consequently, all marketing and sponsorship activities must be approved by the University to ensure the affiliates, operation and services are diligent in approaching this matter.

At this point, we are waiting to receive a response from the University in regards to whether or not forming a relationship with Campus Perks will prove problematic or contradicting to any aforementioned policies. If you have any questions, I encourage you to contact us at any point.

USC Student Life is looking for a master of multimedia to host 2 new campus programs this fall/winter. Are you a Youtube fanatic, first to see the hottest new video on the web? Are you obsessed with posting photo albums online for the world to see? Apply to be the Host of the Youtube Café and POW! (Photos of Western).

Applicants should be well spoken, charismatic and lively on stage.  Responsibilities include: Develop an itinerary in advance of the event, meet with USC Student Life Staff to discuss program plans and review logistics prior to each program, introduce and show Youtube videos/photo slideshows, offer playful commentary between media segments, etc.

Mash or Trash: Playlist Battles

USC Student Life is looking for a DJ-Host for a new campus program this fall/winter. Think you spin the best tunes on campus? Are you craving for the chance to let UWO hear your latest electro rendition? Step up and apply to host Mash or Trash: Playlist Battles.

Applicants should have a broad taste in music, lively stage presence, be well spoken and charismatic on the mic.  Responsibilities include: Develop an itinerary in advance of the event, meet with USC Student Life Staff to discuss program plans and review logistics prior to each program, introduce and hype up student playlists, offer a critique after each playlist, engage crowd in voting, spin 15 minutes of own music to close the show, etc.

Update on Trips & Travel to the USA

Hi Everyone!

 

After a recent meeting with the USC’s insurers, it has been determined by the insurance company that the following trips/excursions are considered ‘Not Approved’.  This means that clubs or councils wishing to run trips or excursions which may fall into the following categories may not be permitted to continue with their event:

 

Not Approved trips are as follows:

  • European Trips or Trips to Third World countries;
  • Un-Chaperoned trips;
  • Travel by other than Tour Company provided transportation (Bus, air, train, etc.);
  • Trips to US which involve wilderness excursions for rock climbing, tenting, etc. where the use of alcohol will not be controlled;
  • Trips to US which are not on a tour or not chaperoned.

Troubleshooting EventsNet

Hi Everyone!

As many of you are aware, there are just some times where EventsNet just won’t cooperate.  You hit ‘submit’ and nothing happens, you enter all your information and it’s lost.  This post is meant to help you make EventsNet work better for you!

First things first – EventsNet doesn’t get along well with certain operating systems, programs or web-browsers, it prefers to work with PC’s using Explorer or Firefox, but Google Chrome has also been known to work on a PC with EventsNet.  When it comes to those of you who use Mac’s, unfortunately EventsNet does not like Safari and they are not very compatible.  We would suggest that you try downloading the Free Firefox software (found here: www.mozilla.org) and using that in place of Safari, it works most of the time, also, Google Chrome has been tested using a Mac as well and has been known to work.

If you’re submitting an event proposal and for some reason the ‘submit’ button doesn’t take you to the proper confirmation screen (you’ll know you’ve done it right when you see a big green check mark and a note saying it was submitted successfully), your best bet is to restart your computer and try again.  If that problem persists, it may be your browser, or EventsNet may just be having an ‘off’ day and not working well with others, so you may stop and try again later or the next day.

If you’ve submitted your proposal and received a confirmation but it’s not appearing on EventsNet, notify Student Life by e-mailing me at bambros@uwo.ca.

Any other issues like logging in, sending e-mails from EventsNet, uploading documents, etc., can be directed to me as well by e-mail.

Acoustic Lunch – Wednesday in New UCC Student Lounge

Are you more of a solo artist who enjoys a six-string without a screaming amp and serious reverberation? The USC is hosting acoustic lunch specials that will feature student singer-songwriters, duos, trios in the UCC. If you are looking to perform in front of a chill audience over coffee then give us a shout.

The acoustic lunch series will perform in the newly renovated student lounge space, which is located on the main floor of the UCC. Acoustic gigs will be held every other Wednesday at 12:45pm on the Student Life Stage. All acts will be strictly acoustic in nature and last 30-45 minutes. Student performers are permitted to sell personal merchandise and music cds/demos during their set. No solicitation of any kind will be permitted to students. 

 Keep checking the “Never be Bored Board” at the base of the main set of stairs, and the USC Student Life website (www.usc.uwo.ca/studentlife) to view upcoming acoustic acts.

 All interested singer songwriters can email the USC Student Life department at www.iamgreat.ca to sign up for a nooner acoustic set.


Western Film – Great place for Club Events!

Hi Everyone!

 

I am not sure how much you know about Western Film, but it’s a great place to go as a group and just hang out, they have a lot of great second-run movies (meaning they have been in theaters a few weeks and are just starting at Western Film).  They have the BEST prices in town, and are CONVENIENTLY located in the UCC on the 2nd floor right near the Wave!

 

They also run midnight classics and by ‘classics’ we’re talking about all those great 80′s teen-movies (Breakfast Club, Ferris Bueller’s Day Off, etc.), Old-school thrillers & horror movies, cult-classics (Monty Python anyone??) and many more movies you may want to see on the big screen again!

 

There are also opportunities for clubs to use the Western Film space during the day (before 5pm) for club events or private screenings if you’re so inclined.

 

We also highly recommend getting the ‘trough’ of popcorn for your whole group!! Very economical!
